Behind The Scenes: Wedding Day Coordination

I have been wanting to do a behind the scenes post for what seems like forever. When I first meet with couples I bring examples of my spreadsheets, diagrams, past weddings etc. But it is hard to accurately describe exactly what we do for Wedding Day Coordination. I thought I would put this post together to show what we do.

Packing: After every wedding I first unpack my Emergency Bag. I check what needs to be refilled (last wedding I had to fill up on large safety pins that were used to fix a broken bustle). I organize my “Tool Bag” (which has all of my tape, glue, scissors, wire cutters etc.) cleaning out anything I threw in there in a hurry. I then charge the two-way headsets so they are ready to go.

Preparation: I meet with all couples who have hired me for Wedding Day Coordination 2-3 weeks prior to their wedding. This is a two hour final planning session where we go over all of the details for their wedding day. After this meeting I then create their production schedule (a detailed timeline of everything happening from the Rehearsal to Reception clean up and who is responsible for doing what) this then gets e-mailed to all of the vendors involved. I also build a vendor contact list, bridal party order sheet and several other spreadsheets. These all go in their binder which I have already started with their contracts and wedding details.

I like to get all of the wedding elements (guestbook, unity candle, card box etc.) and décor items in advance. Sometimes I meet my couples the week before the wedding to pick up items, I will receive them at the Rehearsal or they will drop them off to me at the venue. I do not want to have to worry about collecting things from them on their wedding day, they need to relax!

Coordination Binders

Rehearsal: The Rehearsal is usually held 1-2 days prior to the wedding. I always attend and like to be there to meet all of the bridal party/family members, as well as assist the officiant with lining everyone up and ceremony flow.

Wedding Day: I’ll arrive at the venue with the All The Fuss team. After loading in all of our stuff, we do a walk through (count tables, chairs etc.). Then we start putting everything together (linens, décor, wedding elements etc.). I greet all of the vendors as they arrive and we are available if they need any help. I also make sure that the complete set-up is going according to plan. I keep in contact with the bride and groom through out the day, and am available if they need ANYTHING! I coordinate the ceremony, lining up the bridal party, cueing musicians etc. The same goes with the reception, making sure everything runs smoothly and goes off as planned. We stay until the very end and strike all décor, clean-up the reception space and organize everything in the designated area for the bride and groom. We will bring their gifts to their vehicle or hotel room and ensure that their special items (flutes, cake knife set and momentos) are packed up for them as well. We don’t leave until everything is cleaned up and all vendors are all set.

For Event Wednesday this week I thought I would focus on the ever popular question
